Image Library User Guide

This guide explains how to search, filter, preview, download and share assets in our Image Library. It also documents the Asset Detail View Page fields and best practices for efficient use.

1. Introduction

Our Image Library is built on the (Asset Search & Collaboration (ASC)) platform which provides a centralized library for digital assets such as images. This document is intended for new users and project teams who require a comprehensive, structured reference for day-to-day tasks.

2. ASC interface overview

  • Global Search Bar – search by keyword, product name or category
  • Filter Panel – expand metadata filters for precise results
  • Asset Grid View – preview cards with quick actions (download/share)
  • Sort Options – sort by last modified, name or relevance
  • Asset Detail View – complete metadata, download formats and sharing controls

3. Searching for assets

Use the global search bar labeled “Search by product name, category or keyword”. Enter terms like image names, categories or keywords, then click Search to view results.

  • Start broad and refine using filters.
  • Use specific terms.
  • Combine search with filters for large result sets.

4. Using filters

Open the filter panel on the right. Expand each category to select one or more options. Filters map to metadata on assets and can be combined for precision.

Enter keywords that match asset metadata. The field supports multiple rows, comma-separated entries and basic length constraints.

5. Viewing asset details

Selecting an asset opens the Asset Detail Page with a large preview, metadata, download controls and sharing options.

5.1 Download File Type Panel

  • Original File – full-resolution source
  • Preset sizes – e.g., 48×48, 140×100, 319×319 for thumbnails, web and presentations
  • Add to downloads – queue multiple assets for bulk download.
  • Share – start the email-based sharing workflow.

5.2 Asset Information Panel (Right Side)

  • Description – contextual summary of the image and its purpose.
  • Asset keywords – metadata terms that power filtering and search.
  • Core metadata – size, resolution, created date, image name, type orientation
  • Rights and compliance – copyright, photographer, license, intended use, business unit, modality, disease state (if applicable), location

5.3 Categorization metadata

  • People – e.g., people, colleagues, healthcare professionals, patients
  • Environmental – e.g., healthcare facility, labs, offices, manufacturing
  • Technology – e.g., clinical imagery, conceptual images
  • Products – e.g., products in studio or in use
  • Stock Photography – stock origin when applicable
  • Tags – additional descriptors for refined discovery

6. Downloading assets

6.1 From the Asset Grid

Click Download on a card to open the download modal and choose a file option (Original or Web/preset).

6.2 From the Asset Detail Page

  • Choose a file format (original or a preset).
  • Use Add to downloads to build a bundle or click Download for a single file.

7. Sharing assets

  • Open the asset and click Share.
  • Enter the recipient’s email address.
  • Add a message for context (Optional).
  • Click Share to send the link to the recipient.

8. Best practices for efficient use

  • Begin with broad queries, then narrow with filters.
  • Use standardized taxonomy terms for higher precision.
  • Leverage Add to downloads for batch retrieval.
  • Use the Share feature for controlled distribution and compliance.
